Human Resource Assistant


The title of Human Resource Assistant is a person who supports human resources processes by administering tests; scheduling appointments; conducting orientation; handle payroll matters; and confidentially maintaining records and information. It is Rios Clementi Hale Studios’ expectation that the Human Resource Assistant will confidentially handle all employment and payroll matters and promote the RCHS policies, procedures, and culture, and maintain high morale.

The title requires either a bachelor’s degree or an associate’s degree and five years experience handling human resource matters or payroll. A Human Resource Assistant is expected to be familiar with California Labor and Employment laws. Human Resource Assistants must be making significant progress towards obtaining a Society of Human Resource Management Certificate or a Professional in Human Resources Certificate. Human Resource Assistants are expected to take limited instruction, perform their work with a high level of professionalism, and ask questions.

A Human Resource Assistant is responsible for a wide variety of tasks including, but not limited to, the following:

  • Welcoming new employees to the organization by conducting orientation;
  • Preparing new employee files;
  • Providing payroll information by collecting time and attendance records;
  • Submitting employee data reports by assembling, preparing, and analyzing data;
  • Maintaining employee information by entering and updating employment and status-change data;
  • Providing secretarial support by entering, formatting, and printing information; organizing work;
  • Answering the telephone, relaying messages; maintaining equipment and supplies;
  • Maintaining strict employee confidence and protecting operations by keeping human resource information confidential;
  • Maintaining technical knowledge by attending educational workshops; reviewing publications;
  • Conducting benefits enrollment for employees;
  • Verifying I-9 documentation and maintains books current;
  • Submitting the online investigation requests and assisting with new employee background checks;
  • Conducting audits of various payroll, benefits or other HR programs and recommends any corrective action;
  • Filing papers and documents into appropriate employee files; and
  • Performing other duties as assigned.
Human Resource Assistants must be able to see, use their hands, eyes and arms, must be able to carry documents and other objects that frequently weigh more than 10 pounds, some bending, stooping or squatting, and walking. Language requirements are reading, writing, spelling, and the ability to communicate clearly on technical and business topics in English.

Executive Assistant

We are seeking an experienced Executive Assistant to work directly for our four Partners. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a firm of diverse people and programs.
The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

MUST HAVE:

  • 5+ years experience supporting at the executive level
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Experience successfully creating and/or modifying administrative business practices
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Experience scheduling travel arrangements for management
  • Bachelor’s degree

The Executive Assistant will:

  • Be responsible for complex calendar management, requiring interaction with both internal and external executives and assistants, as well as clients, to coordinate a variety of complex meetings
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Answer Partners phones and direct all incoming calls to appropriate party promptly and efficiently
  • Communicate and handle incoming and outgoing electronic communication on behalf of the Partners
  • Arrange travel schedule and reservations for executive management as needed
  • Prepare time cards, travel, and expense reports on a timely basis
  • Work closely with the partners to coordinate and launch hard copy or email correspondence to consultants, clients and potential clients
  • Assist office management staff as needed to schedule meetings, coordinate attendance, prepare meeting spaces, and occasionally provide refreshments/lunch

Intermediate Architect


We are looking for a highly motivated and organized individual who is willing to take responsibility and multi-task, in a creative, deadline-driven environment, and who is interested to grow with our team.

Candidates must possess a 5 year Bachelor of Architecture degree or a Master’s of Architecture degree from an accredited school and have a range of 5 to 8 years of professional experience working with licensed professionals.  Candidates will be evaluated on design portfolio and construction & presentation documentation experience.. Required computer skills include:

  • SketchUp, VRay, and/or Rhino
  • REVIT

Mid-Level Landscape Designer or Landscape Architect


We are seeking a full-time mid-level landscape designer or landscape architect who is committed to the creation and development of outstanding design from concept through execution. The candidate must possess:

  • 3-6 years of  landscape architectural design experience through all phases of design and documents
  • Interest and experience in residential landscape and estate garden design
  • Strong design/organizational skills and a passion for creativity
  • A high degree of self-motivation, flexibility, and resourcefulness
  • Knowledge of planting design, materials, and technical aspects of landscape architecture
  • Construction documents and specification experience
  • Construction administration experience, as well as experience coordinating with a range of consultants including civil, electrical, and structural engineers
  • Proficiency with Autocad is required, Revit experience is a plus
  • Strong presentation skills, including proficiency with Photoshop, Illustrator, InDesign, and Sketch-Up. Rhinoceros modeling is a plus
  • Strong written and verbal communication and collaboration skills

Project Accountant


We are currently seeking an experienced Project Accountant. Applicants should thrive in a busy, energetic and creative environment, and must have mature communication skills, with the ability to be both polite and clear in managing inquiries and requests for information from high profile clients. Position requires candidate to be professional, detail oriented and communicative as well as organized, positive and energetic. Responsibilities include, but are not limited to:

  • Work in collaboration directly with Office Manager/Controller, Project Managers & Partners;
  • Review/Analyze signed prime contracts and understand the commercial terms and billing requirement; ensure project set-up/initiation comports with contract terms (Understanding of Overhead/Promotional/Regular Projects);
  • Review/Analyze and understand the commercial terms of consultant contracts on assigned projects;
  • Review/Analyze project labor and expense charges with project managers to ensure that the costs are aligned with the project budget;
  • Review/Analyze project revenue recognition and projections;
  • Prepare/Analyze monthly client invoices for assigned projects;
  • Interact with accounting counterparts of clients and consultants in a professional and courteous manner to facilitate smooth accounting transactions;
  • Monitor/Analyze project fees to ensure proper revenue recognition occurs during the month-end cycle;
  • Monitor/Analyze and report project performance against established metrics to Controller/Office Manager.

Requirements:

  • Candidate must be proficient in Deltek Vision software, this will be tested. Candidate must understand Deltek terminologies such as Info Center/Billing Terms/Budgets;
  • 10 or more years of experience in a professional services firm (A/E/C experience A MUST);
  • 5 or more experience in Deltek Vision software (if you don’t have Deltek Vision experience, please do not apply)
  • Must be able to translate proposals to revenue during project set-up and billing terms;
  • Must work well in a very fast-paced environment with multiple tasks, priorities, and deadlines;
  • Must demonstrate a high level of accuracy and consistent work performance.

Interior Designer


We are looking for a highly motivated and organized individual who will to take on project responsibilities and multi-task in a creative, deadline-driven environment, and who can grow with our team. Candidates should possess a 4-year college degree specializing in Interior Design/Environmental Design/Architecture from an accredited school, and a minimum of 3 years of professional experience working in Interior Design. You should have experience with:

  • Drafting interior elevations, cabinetry, and furnishings
  • Interfacing with dealers and vendors
  • Coordinating purchasing and budget reconciliation
  • Material, furniture, and plumbing fixture research
  • Research of new products
  • Preparing presentation materials and full FF&E packages
  • Assist with budget preparation and site installations
  • Required computer skills include AutoCAD and SketchUp, Microsoft Office, Adobe CS (Photoshop, Illustrator, InDesign)
  • Familiarity with Studio Design software is a plus
  • Design skills include: a strong sense of color color and composition, some knowledge of textiles, furnishings, and LA showrooms, exposure to commercial and residential FF&E
  • Some knowledge of building codes, LEED, and accessibility regulations
